Created documents are available within employee profiles as well as 'My Documents' page. My Documents page contains documents belonging to employees within one page, here you can: 1. browse and view documents 2. manage document visibility 3. add review dates.
My Documents
You may browse documents using the filter or keywords such as employee name and contract type. This page allows you to have an overview of documents as well as important information such as document name, employee assigned to, review date, document status, and creator.
Status
The status column indicates whether a document has been completed or is currently in progress. A completed document is defined by employee acknowledgment; if the assigned employee has seen the document and acknowledged it, the document will appear as 'Complete'. Without acknowledgment, the document will appear as 'In progress'.
Review date
You can assign a review date for any document by clicking on 'Manage' on the right. Once you have assigned a review date, you will receive a reminder for the expiring document a month and three months within the expiry of the document.
Manage Documents
The Manage button allows you to change document details such as title, access level, assignee, and review date.
Access level
This field allows you to change the accessibility of a document. There are currently three levels of accessibility:
Admin only - the document will only be available to administrators within the account
Admin & Licensee - the document will be available to administrators and the employee assigned to the document
All employees - the document will be available to administrators and all employees within the subscription
Please note all administrators will have access to these documents regardless of level of accessibility. This tool enables you to limit employee visibility over documents.
Linked to
This field enables you to change who this document belongs to. Please note that changing linked to, to a different employee, does not change the contents of the document to reflect employee change. The document will maintain original employee details if present.
Review date
Setting up a review date will enable notifications approaching the selected review date.
